Document Specialist

Hall, Render, Killian, Heath & Lyman, P.C., a national law firm focused exclusively on matters specific to health care organizations, seeks an experienced Document Specialist to join our Research and Information Services team in supporting our firm’s employees and clients. The primary function of this role will be to provide document troubleshooting, formatting and styling on internal and external legal documents utilized within the firm. The document team provides a valuable time-saving service to the firm’s employees, so the ideal candidate will have a high level of experience with Microsoft Word and related document programs. In addition to serving as a Document Specialist, as part of the Research/Information Services department, the individual filling this role will have the opportunity to potentially assist in coordinating and delivering training/development to employees within the firm, as well as provide assistance with various projects occurring in the department, such as filing, current awareness monitoring and other tasks as needed.

This role is typically based in our Indianapolis office with a hybrid work schedule, however, this role offers flexibility in terms of location and work hours.

Key Roles and Responsibilities

  • Create, edit and proofread complex legal documents using advanced word processing skills and software knowledge
  • Compare documents and track changes using firm-specific software
  • Convert PDF documents into various formats, ensuring alignment with style requirements
  • Review documents for spelling, grammar, punctuation and formatting accuracy
  • Reformat documents
  • Troubleshoot documents as needed
  • Maintain confidentiality and security of sensitive information
  • Maintain flexibility in scheduling to cover shifts in absence of other Document Specialists
  • Provide training/support to users in 1:1 capacity and in group training sessions
  • Other tasks as needed, not limited to but including training/development program assistance, filing, current awareness monitoring, PowerPoint creation, etc.

Requirements, Education and Skills

  • Experience: 3+ years of word processing experience, including creating, formatting and revising of documents
  • Law firm experience preferred
  • High school diploma or equivalent
  • Expert-level skills in Microsoft Word
  • Proficient with tools/skills such as Tables of Authorities, Tables of Contents, Styles, Adobe
  • Experience with document conversion, numbering and document clean-up and troubleshooting
  • Strong attention to detail
  • Ability to proofread documents for typographical or spelling errors
  • Ability to organize and prioritize numerous tasks and complete them under time constraints
  • Ability to communicate well with internal clients to create an understanding of what is needed for each project
  • Experience with Excel and PowerPoint helpful

  • 8-hour shift
  • Monday to Friday
  • Tuesday and Thursday later start and end time

Travel requirement:

  • As required to ensure connection and collaboration with internal clients

Work Location: Hybrid schedule with office presence at one of Hall Render’s larger office locations (Indianapolis, Milwaukee, Troy), however, location and hybrid schedule is flexible.
