Legal Administrative Assistant

Hall, Render, Killian, Heath & Lyman, P.C., a national law firm focused exclusively on matters specific to health care organizations, seeks an experienced Legal Administrative Assistant to work in our Indianapolis office with an in-office presence. A Legal Administrative Assistant (LAA) at Hall Render performs a wide variety of legal administrative and executive assisting duties. Major duties of an LAA include providing comprehensive and efficient administrative and secretarial support, complex document editing, creating tables and spreadsheets, project management, calendar and travel management, and maintaining paper and electronic files. Key Roles and Responsibilities

  • Help attorneys solve problems by finding reliable solutions while working within Firm policies and procedures.
  • Develop comfort and proficiency with all necessary Firm software and provide first-line support to attorneys.
  • Create, edit and proofread complex legal documents using advanced word processing skills and software knowledge.
  • Convert PDF documents into various formats, ensuring alignment with style requirements.
  • Troubleshoot documents as needed.
  • Draft, edit and proofread a variety of complex documents for correct spelling, grammar, punctuation, format and content.
  • Create and maintain client files.
  • Assist with timekeeping, transcription, and payment processing requests and coordinate billing processes.
  • Scheduling and calendar management.
  • Travel arrangements and expense report processing.
  • Communicate directly with clients and courts.
  • Manage attorney memberships and credentials.

Requirements and Qualifications

  • Advanced experience in word processing, including creating, formatting and revising documents.
  • Expert-level skills in Microsoft Outlook, Word, PowerPoint and Excel functions, with an aptitude for quickly learning various other programs.
  • Proficient with tools/skills such as Tables of Authorities, Tables of Contents, Styles and Adobe.
  • Experience with document conversion, numbering and document clean-up and troubleshooting.
  • Strong attention to detail.
  • Ability to communicate with clients in a pleasant and professional manner.
  • Excellent administrative, writing, grammar and proofreading skills.
  • Ability to work independently and with team members to find solutions to technical problems.
  • Detail-oriented with strong organizational and time management skills.
  • Flexibility in responding to ever-changing demands and types of work practices.
  • Ability to be assertive and engage with senior levels.

Education and Qualifications

  • High school diploma from an accredited institution.
  • Five+ years’ experience within a law firm and/or in a high-level executive assistant role.
  • Expert in legal administration and organizational skills, including excellent verbal and written communication skills.
  • Expert in legal administration tasks, including, but not limited to, document preparation, filing, time entry, expenses, travel arrangements and calendar management.

Job Type: Full-time, 5 days in-office
